An application arrives. A coordinator reviews it. The application status then follows their decision. In this Intaria Academy lesson, we'll set up that approval process and check both results using fictional volunteer applications.
Start in Forms and open Academy Demo, Volunteer Intake.
Choose Workflow and check the form name before editing. You need an owner or administrator account to change this workflow.
In the Trigger menu, select When form is submitted.
That makes each new application the starting point for this process.
Choose Add Step,
then Request Approval.
The approval card contains the reviewer and both outcome settings. Keep this first workflow to one approval step, so you can follow each response from submission to decision. The workflow will wait for its assigned reviewer before completing the result.
Open Reviewer and select the coordinator from your organization.
Check the name and email together, especially if two people have similar names.
The assigned reviewer will find the request in Approvals. Another member's access to the workspace does not automatically make them the reviewer for this request.
Under If approved, choose Approved.
Under If rejected, choose Rejected.
These settings update the application's status when the reviewer decides. This example demonstrates status changes. It does not send an approval or rejection email. Check both menus before moving on: approval should produce Approved, and rejection should produce Rejected.
Choose Save to store the draft.
Saving alone does not start the workflow.
Choose Activate,
then confirm that the badge says Active.
Submit two separate fictional responses through the demonstration form.
Use Demo Alex for approval
and Demo Casey for rejection.
Keeping them separate lets you verify both outcomes without changing an earlier decision.
Open Approvals as the assigned reviewer.
Find Demo Alex under Pending and confirm the form and applicant.
You can add an optional comment, such as Ready for orientation.
Choose Approve.
Look under Recently decided for the Approved result,
then check the same response in the form's Submissions list.
Next, find Demo Casey's separate pending request.
Add a comment if useful and choose Reject.
Confirm Rejected in Recently decided
and in Submissions. Match each name to its own result.
That checks the entire path: a new response, the assigned person's decision, and the saved application status.
You now know the setup and the two checks for a basic approval workflow. Before using it with real applications, confirm the reviewer, both outcome settings, and the Active badge.
Keep a separate test response for each decision.
